AI workflow automation
Emails, documents and routine questions, handled.
We take one recurring process off your team at a time: sorting incoming emails, extracting data from documents, drafting replies. Our AI workflow automation services are tested on your real examples and connected to your email, CRM or document storage, and a person still approves anything that matters.
Where AI takes over routine work
Document processing
AI extracts the fields you need, flags what is missing and prepares a record for review.
Enquiry triage
AI sorts incoming requests, drafts a reply and passes the conversation to the right person.
Knowledge assistance
Staff get answers from approved documents, with a link to the source and a person to ask when the answer isn’t there.
For teams buried in emails, documents and questions
AI helps where people spend hours reading and sorting text that follows no fixed format.
Operations and back office
Invoices, contracts, applications and forms arrive as PDFs and scans. Someone retypes the same fields every day.
Sales and customer service
The inbox fills with similar questions. Replies are slow because every message is read, sorted and forwarded by hand.
Teams with a lot of internal knowledge
Answers live in documents, chats and people’s heads. New staff ask the same questions, and experienced staff answer them instead of doing their own work.
Companies trying AI for the first time
You want to test AI on one real task and see whether it pays off before buying licences for the whole company.

How AI workflow automation works: one task first, then the next
We start with a pilot on your real examples and expand only what has proved itself.
Choosing the task
Together we pick one recurring task with a clear input and output, for example extracting fields from invoices or sorting incoming requests.
Examples and rules
You send typical and difficult examples. We write down what a correct result looks like, which cases go to a person and what must never be automated.
Pilot
We set up the AI step, the checks and human approval on a small volume of real work. Wrong or uncertain answers go to review, not to your customer.
Evaluation
We compare the pilot with how the work is done today: review time, the share of accepted results, errors and running costs.
Rollout and support
If the pilot works, we link it to your email, CRM or document storage, write instructions for the team and set up monitoring.
What you get
A working pilot, a comparison with how the work is done today and a clear recommendation to roll out, change or stop.
What we need
from you
A set of anonymised examples of the documents or messages you want to process, including the awkward ones, plus a description of where the result should end up and who checks it today.
We also need a person who knows the process well and can say whether an answer is right. Their judgement is what the pilot is measured against.
This page covers automating one workflow end to end, from pilot to daily use. For chatbots, AI agents, knowledge assistants, consulting and team training, see AI solutions for business. For a closer look at one type of task, see AI document automation or AI chatbot development.
AI makes mistakes, so we don’t promise full automation without human review. Where an error is costly, a person approves the result. We also don’t send confidential data to services your company hasn’t approved.
When you need AI and when ordinary automation is enough
AI is the expensive and less predictable part of any workflow. We use it only for the step that really needs it.
Ordinary rules are enough
The data arrives in a fixed format: a web form, a spreadsheet, an order from your store. Moving it between systems is classic process automation, cheaper and fully predictable.
AI is worth it
The input is free text or a document in varying layouts: emails from customers, supplier invoices, scanned contracts, chat messages. Someone currently reads each one to decide what to do.
AI email automation
A typical first pilot: incoming emails are classified by topic and urgency, key details are pulled out, a draft reply is prepared and the message lands with the right person or in the CRM.
Automate routine questions with AI
Repeated questions from customers or staff get an answer from approved documents. Anything outside those documents goes to a person, not to a guess.
What affects the cost of AI workflow automation services
There are two parts to the cost: building the workflow and running it every month.
Variety of inputs
Ten similar invoice layouts are a smaller job than hundreds of document types from different senders in several languages.
Accuracy you need
Sorting emails can tolerate the occasional mistake. Financial data cannot, so it needs more checks and more human review.
Systems to connect
Reading from a mailbox and writing to a CRM, ERP or document storage, each with its own access rules.
Model usage
Each processed document or message has a running cost from the AI provider. We estimate it on your volumes before the pilot.
Data requirements
If data must stay in a particular region or within approved services, it narrows the choice of models and hosting.

Questions before you start
Which AI models do you use?
We choose the model for the task, your data requirements and the running costs. Sometimes a rule or a simple script does the job better, and then we say so.
Is our data safe?
We decide with you in advance which data may be processed, where and by which service. Confidential records can be anonymised or kept out of the pilot entirely.
Will AI replace our employees?
That isn’t the goal. Automation takes over sorting and retyping; people keep the decisions, the exceptions and the contact with customers.
How is the cost of AI workflow automation calculated?
We quote after we see your examples and the systems involved: building the pilot and rollout, plus the monthly model usage estimated on your volumes, so you know the running cost in advance. Payments are in EUR.
What if the pilot doesn’t work?
You get a clear explanation of why: data quality, too many exceptions or a task that suits a different approach. That is a result too: you don’t spend money on a rollout that wouldn’t pay off.
How do you measure whether the pilot worked?
Against the way the work is done now: the share of results accepted without changes, review time, the number of exceptions and the cost of each completed task. We agree these measures before the pilot starts.
